Five buckets: account data (name, email, company, role), the rep's customer data typed into the app (account names, buyer names, objections, commitments), coaching data (prompts, transcripts, worksheets, AI outputs), voice data (audio submitted for transcription, never stored, only the resulting text is kept), and technical data (usage, device, security logs).
When you request access or contact us on getbuildcoach.com, we store what you enter (name, email, role, what you sell, team size, company, and any note), the page and site you arrived from with any campaign tags in the link, and a one-way hash of your IP address used only to limit abuse, and we forward the request to our inbox through FormSubmit; we use it only to review requests and send invites.
The website uses Vercel Web Analytics to count page visits and a few button clicks, such as opening the request form; it sets no cookies and never records what you type into a form.
Data comes from you directly, what you type or say into the app, and your account and context profile, and from BUILD's own coaching engine, which generates worksheets and summaries from your conversations.
We use your data to run your coaching conversations, generate and save your worksheets, maintain your account, and improve the coaching methodology and product. We do not use your data to train third party AI models beyond what is disclosed in the AI processing section below, and we do not sell your data.
Coaching conversations, worksheets, and voice transcription are processed by OpenAI. OpenAI retains this data for 30 days before deletion and does not use it to train its models. No formal data processing addendum is in place with OpenAI at this time, a deliberate decision given the size of the business today. See the AI notice for more detail.
If your account is placed on a team with a manager, the manager can see summarized signals about your coaching activity, such as which BUILD stage you are working in and general patterns over time. A manager cannot see your raw conversation transcripts or worksheet content without your explicit consent.

Coaching sessions and worksheets are retained while your account is active, with no separate timer beyond account deletion. A full retention schedule, including the post-deletion backup window, is being drafted and will get its own section here once it is final.
We use industry standard safeguards, including encrypted connections, database access controls that keep one user's data separate from another's, and restricted internal access to production systems. No system is perfectly secure, and we cannot guarantee absolute security of your data.
You can export your data and delete your account from the More screen in the app. See Your data for those actions.
This service is currently offered without state specific or international privacy program registrations, such as under the California Consumer Privacy Act or the EU General Data Protection Regulation. If you are located outside the United States, or in a state with its own privacy law, contact us before using the service with data that may be subject to those rules.
This service is intended for users 18 and older. We do not knowingly collect data from anyone under 18.
We may update this policy as the product and business change. If a change is material, you will see a notice in the app and may be asked to re-accept before continuing to use the service.
